How We Approach a $200K–$500K Luxury AV Project

A large luxury AV and automation project — the kind that encompasses a full home theater, whole-home audio, lighting and shading, networking, and integrated control — is a complex undertaking with many moving parts. The projects that go well do so because the process is structured correctly from the start. Here's how we approach that work.

Design Before Specifications

The first conversation is always about how the home will be used, not about which products to buy. Who lives in the home? How do they use entertainment spaces? What's the primary use case for the theater — film, sports, gaming, music? How do they want to interact with the system? Are there children in the home whose usability needs differ from the adults'?

These questions shape the system design before a product list is built. A home with young children needs a different control interface philosophy than a couple's residence. A client who wants the system to be completely invisible and just work needs a different design approach than a client who enjoys engaging with the technology. We document the design intent before producing specifications — this gives the client something concrete to react to and ensures the specifications that follow are solving the right problem.

Scope and Budget: Being Direct

Large projects have a way of growing from initial concept to final scope. We're direct with clients about what scope costs, and we build proposals that make the cost of each element visible rather than bundling everything into an opaque total. This lets clients make informed decisions about prioritization — what's essential, what's a strong preference, and what would be nice if the budget supports it.

We also don't lowball the initial proposal to win the job and then recover margin through change orders. The scope we propose at the start is the scope we intend to deliver at the stated price. If conditions change during construction in ways that affect cost, we communicate that specifically and early.

Coordination During Construction

For projects in new construction or major renovation, the period between contract signing and equipment installation is when coordination work determines the quality of the final installation. This includes: reviewing pre-wire drawings against architectural plans, attending coordination meetings with the GC and subcontractors, conducting rough-in walkthroughs to verify work, and catching conflicts before they become expensive problems.

On large projects, we assign a dedicated project manager who owns this coordination relationship with the construction team. Our on-site visibility during construction is what separates a cleanly integrated installation from one that fights its environment.

Equipment Room Design and Rack Build

The equipment room and rack build is where the technical quality of the system is established before any user experience is possible. Cable management, proper thermal management, power conditioning, labeling, and documentation — these details determine how the system holds up over years of operation and how efficiently it can be serviced when needed. We build racks to a standard we're comfortable showing clients, because a clean, well-organized rack room is a physical expression of the care put into the whole system.

Commissioning: Where the System Becomes Real

Commissioning is the process of programming, calibrating, and verifying every system and its integrations. This is where the Crestron or Control4 programming is loaded and tested, room correction is measured and applied, display calibration is performed, shade and lighting scenes are programmed to the client's preferences, and the whole system is exercised through its full range of operation before the client walkthrough.

A proper commissioning on a large project takes days, not hours. Cutting it short produces a system that works most of the time and fails in specific edge cases — which is an unsatisfying result for everyone. We commission to completion.
