From Quote to Install: The 8 Phases of a Beyond Audio Project
A custom AV and automation installation is one of the more complex residential projects a homeowner undertakes — it touches multiple systems, requires coordination with other trades, and involves both technical design and construction management. Knowing what the process looks like from the start makes it less opaque and helps clients prepare for each stage. Here are the eight phases every Beyond Audio project moves through.
Phase 1: Discovery
The initial conversation is about the home and the client, not the technology. We ask about how spaces will be used, what problems need to be solved, what the client values most in their home experience, and what their budget range looks like. A client who prioritizes simplicity and reliability gets a different design than one who wants maximum capability and is comfortable with complexity.
Phase 2: Site Assessment
For renovation projects and retrofits, a thorough site assessment before design begins is essential. We walk the home with the client, identify infrastructure opportunities and constraints, assess existing wiring, locate potential equipment room options, and document what we find. For new construction projects, we review the architectural drawings at this stage and begin identifying coordination requirements with the design team.
Phase 3: System Design
With discovery and site assessment complete, we produce a system design: a documented description of what will be installed, where it goes, how it integrates, and what the user experience will be. This is not yet a product specification — it's a design intent document that describes the system's behavior and architecture. The client reviews and approves this before we produce the proposal.
Phase 4: Proposal and Scope Finalization
The proposal translates the system design into specific products, quantities, installation labor, programming, and project management costs. We present this at line-item detail so clients understand what each element costs and can make informed decisions about scope adjustments. Once the proposal is accepted, the scope is finalized and a project schedule is built.
Phase 5: Pre-Wire and Rough-In Coordination
For new construction and major renovation projects, this phase is where we coordinate with the general contractor and subcontractors to manage the low-voltage rough-in. We attend coordination meetings, conduct rough-in walkthroughs, verify that pre-wire work meets our specifications, and catch any coordination conflicts before the walls close. This phase may span weeks or months depending on the construction schedule.
Phase 6: Equipment Procurement and Rack Build
Equipment is ordered, received, and staged at our facility. Rack builds — assembling and pre-configuring the equipment room components — happen here, before the equipment reaches the job site. We pre-load firmware, configure devices, and verify hardware function before installation. This reduces the time spent on-site and produces cleaner results than assembling a rack in a finished equipment room.
Phase 7: Installation and Commissioning
Installation encompasses physical mounting, termination, and the pull-through of equipment to the pre-wired infrastructure. Commissioning follows: programming the control system, calibrating audio and video, setting up lighting and shade scenes, verifying all integrations, and exercising the full system through its intended operation. Commissioning is thorough — we test edge cases and confirm the system behaves correctly across every scenario before the client walkthrough.
Phase 8: Client Training and Handoff
The final phase is transferring the system to the client — a walkthrough of all functions, a training session on the control interfaces, and delivery of system documentation including rack diagrams, network maps, and programming documentation. We want clients to feel comfortable with their system on day one, and we're available for follow-up questions after handoff. The relationship doesn't end at handoff — it transitions to the service plan relationship.
